Sales Records
Browse your full sales history and filter by date or status.
Overview
Sales Records show every completed sale in your business. This is your historical record of all transactions — useful for reconciliation, reporting, and customer service.
Accessing Sales Records
Go to Reports → Sales Records or Sales in the sidebar.
What Each Record Shows
| Field | Description |
|---|---|
| Sale ID | Unique identifier for the sale |
| Date & Time | When the sale was completed |
| Customer | Name of the customer (if selected) |
| Items | Number of products sold |
| Subtotal | Amount before tax and discounts |
| Discount | Discounts applied |
| Total | Final amount paid |
| Payment Method | How the customer paid |
| Status | Completed, refunded, etc. |
Filtering Sales Records
By Date Range
Select a start and end date to view sales within a specific period. This is useful for daily, weekly, or monthly reconciliation.
By Status
Filter to show:
- All sales
- Completed only
- Refunded only
- Partially refunded
By Customer
Search for a specific customer to view their purchase history.
By Payment Method
Filter by how the customer paid (cash, card, or other).
Exporting Sales Records
You can export sales records to CSV for external analysis:
- Apply your desired filters (date range, customer, etc.)
- Click Export
- The CSV file is downloaded to your device
The export includes all fields visible in the sales records list.
Sale Actions
For each sale, you can:
- View Details — see the full breakdown of items, payments, and customer info
- Print Receipt — print or reprint a receipt
- Download Receipt PDF — save the receipt as a PDF
- Email Receipt — send the receipt to the customer by email (requires SMTP)
- Refund — process a refund for the sale (if enabled for your role)
- Create Invoice — generate an invoice PDF for the sale (if not already invoiced)
Sales vs. Orders
- Sales are completed transactions where payment has been received
- Orders include pending, held, and due orders that may not yet be complete
Both views show related data — an order that is completed becomes a sale.
Common Uses
Daily reconciliation
Filter by today's date and check that the total sales amount matches your cash drawer.
Customer disputes
Find a specific sale by ID or customer name to review what was purchased and how it was paid.
Refund processing
Find a completed sale and initiate a refund from the sales record.
Reporting
Export filtered sales data to build custom reports in a spreadsheet.
