Data Safety Basics
What data Accoraze stores, how it is protected, and what you should know.
Overview
Understanding how your data is stored, protected, and managed in Accoraze helps you make informed decisions about backup strategies and data safety.
What Accoraze Stores
Accoraze stores data related to your business operations:
- Business data — Products, customers, suppliers, orders, expenses
- User data — User accounts, roles, and access permissions
- Transaction data — Sales records, payments, and receipts
- Configuration — Business settings, branding, and preferences
- Logs — Activity logs and security logs
Data Protection Measures
Accoraze uses several measures to protect your data:
- Server backups — Regular automatic backups on the server
- Google Drive backup — Off-server automatic backup (Business/Custom plans)
- Access controls — Role-based permissions limit who can see and modify data
- Secure connections — Data transmitted over encrypted connections (HTTPS)
- Authentication — Email verification and password protection for accounts
What You Are Responsible For
While Accoraze manages server-side infrastructure, you are responsible for:
- Keeping your account secure — Use strong passwords, keep credentials private
- Configuring SMTP — Without SMTP, customer emails are not sent automatically
- Exporting data — Regularly download CSV exports as a personal backup layer
- Enabling Google Drive backup — If available on your plan
- Removing users — Deactivate users who no longer need access
- Reviewing logs — Check security logs for unfamiliar activity
Backup Layers
For complete data safety, use multiple backup layers:
| Layer | What It Covers | Who Manages It |
|---|---|---|
| Server backups | Full business data | Accoraze infrastructure |
| Google Drive | Off-server copy of data | Accoraze (automatic) |
| Manual exports | CSV copies of key data | You (on demand) |
No single backup layer is complete on its own. Use all available options.
Data Retention
Accoraze retains your data as long as your account is active. If you cancel your account or let it expire:
- Data may be retained for a period before deletion
- Review the terms of service for data retention policies
- Export your data before closing the account
What Happens to Data If Accoraze Has Technical Issues
- Accoraze maintains server backups to recover from failures
- Data integrity is protected through regular backup verification
- The support team can assist with data recovery in most cases
For critical data protection, do not rely solely on Accoraze's infrastructure. Maintain your own exports.
Security Best Practices
- Strong password — Use a unique, strong password for your Accoraze account
- Email verification — Verify your email so you can receive password resets
- Limit access — Only invite trusted users; remove those who no longer need access
- Review logs — Check security logs for unfamiliar activity
- Regular exports — Download CSV exports of key data periodically
Data Not Backed Up
The following are not included in standard backups:
- Uploaded files and attachments (uploads have their own backup process)
- User sessions and browser data
- Data from services integrated via API (check those services' own backup policies)
