Expired Plan Behavior
What happens to your account and data when a paid plan expires.
Overview
Understanding what happens when your Accoraze plan expires or is downgraded helps you avoid unexpected disruptions to your business operations.
Plan Expiration vs. Downgrade
| Event | What It Means |
|---|---|
| Plan expiration | Your subscription period has ended and the billing cycle is complete |
| Plan downgrade | You or the system has moved you to a lower plan |
| Free plan | The base plan available without payment |
What Changes When a Plan Expires
When a paid plan (Starter or Business) expires or is not renewed:
- Feature access changes — You lose access to features exclusive to your previous plan (e.g., SMTP, Google Drive backup)
- Data is retained — All your business data (products, customers, orders, reports) remains intact
- Users remain — All users continue to have access based on the new plan's limits
- Documents still work — You can still download PDFs and receipts
- Email limitations — If SMTP was exclusive to your paid plan, customer email sending may be unavailable
Downgrade Behavior
If you downgrade from Business to Starter, or Starter to Free:
- Features limited to the higher plan become unavailable
- SMTP may be disabled if it was a Starter-only feature
- Google Drive backup may stop if it was a Business-only feature
- Users over the new limit may be prompted for deactivation
Access During Transitions
During plan changes:
- You can still log in and use Accoraze
- Existing data is never deleted automatically
- You have time to adjust settings before losing access to features
Upgrading Again
You can upgrade your plan at any time from your account settings. Upgrading restores access to the features of the higher plan immediately.
Avoiding Service Disruption
Before a Plan Expires
- Monitor your subscription status in account settings
- Set up payment or renewal reminders
- Export important data regularly as a backup
If You Are Downgrading
- Review which features you will lose
- Ensure SMTP-dependent workflows have a backup process
- Export data before features become unavailable
Data Safety
Accoraze retains your data even if your plan expires. However, we recommend:
- Export data regularly — Use the Import & Export feature to download CSV backups
- Download important documents — Save PDF invoices and receipts you may need for records
- Export reports — Download any financial reports you need for accounting
